Privacy Policy

Last updated: July 24, 2026

Canadian International Professionals Association, Inc. ("CIPA," "we," "our," or "us") values your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, and share personal data through our websites, membership systems, and related online services (collectively, the "Services").

1. Information We Collect

We collect information that you voluntarily provide, such as when you apply for membership or sponsorship, register for events, subscribe to newsletters, or contact us. This may include your name, email address, location, employer, alma mater, and other relevant information. We also collect technical data through cookies and similar technologies when you use our website.

2. How We Use Information

We use your information to provide and improve our Services, manage memberships, process payments, communicate with members, and support events. We may also use aggregated or anonymized data for analytics and reporting.

We may review reported user content or communications solely for the purpose of ensuring member safety, investigating violations of our Community Conduct and Safety standards, or complying with applicable laws. Such reviews are limited in scope and are conducted in accordance with this Privacy Policy.

3. Sharing of Information

We may share your information with trusted service providers that support our operations, including membership management, communications, event hosting, analytics, and payment processing. We do not sell or rent personal information. We may disclose data when required by law or to protect our rights.

4. International Data Transfers

Because CIPA operates globally, your personal information may be transferred to and processed in countries other than your own. We implement appropriate safeguards consistent with applicable laws (GDPR, CCPA/CPRA, and PIPEDA).

5. Cookies and Tracking Technologies

We use cookies and similar technologies to enhance your browsing experience, analyze website usage, and deliver relevant content. You may control cookie preferences through your browser settings.

6. Your Rights

Depending on your location, you may have the right to access, correct, delete, or restrict the use of your personal information, and to withdraw consent or opt out of communications. To exercise your rights, contact us at contact@canipa.org.

7. Data Retention and Security

We retain personal data only as long as necessary for the purposes described above or as required by law. We use appropriate administrative, technical, and physical safeguards to protect your data against unauthorized access or disclosure.

8. Children's Privacy

Our Services are not intended for individuals under the age of 16. We do not knowingly collect personal information from minors. If we become aware that a minor has provided data, we will delete it promptly.

9. Third-Party Links and Services

Our Services may include links to or integrations with third-party websites, platforms, or services. We are not responsible for the privacy practices or content of those third parties. Please review their policies before engaging with them.

10. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices. Updates will be posted on this page with a revised "Last updated" date.

Mailing list and communications

When you join our mailing list, or opt in on an event registration, we collect your name, email address, location, school affiliation, work title, and company. We use this information to send you our newsletter and invitations to events, and to understand our community. We record the date, source, and consent wording of each signup so we can honour your choices.

Our mailing list is managed in Glue Up, the membership and events platform that processes this information on our behalf. Every email we send includes an unsubscribe link. To unsubscribe, or to request a copy or deletion of your information, email contact@canipa.org.

We do not sell your contact information. We share it in only two situations. First, with service providers that run our systems, such as Glue Up. Second, with a specific organization when you have given us explicit permission, for example allowing your university or college to update its alumni records when you register for one of our events. When a school or partner wants to reach our community, we send the message on their behalf; your details stay with us unless you personally approve an introduction.

11. Contact Us

If you have questions about this Privacy Policy or wish to exercise your privacy rights, please contact us at: contact@canipa.org.
